Information on data processing during events

The Baden-Württemberg Ministry of Economic Affairs, Labour and Tourism takes the issue of protecting your personal data very seriously. For this reason, we have taken measures to ensure that data protection regulations are complied with.

Who is responsible for processing the data and who is the Data Protection Officer?

Which personal data do we collect and where does it come from?

The categories of personal data that we process include the following data in particular:

  • Basic information (such as your first name, last name, titles and affixes and roles),
  • Contact details (address, (mobile) phone number, e-mail address),
  • Photo and video material.

Your personal data is always collected directly from you when you contact us or when you register for our event. We will also take photos and videos during the event.

The data is processed for which purposes and on which legal basis?

We take the provisions of the EU General Data Protection Regulation (GDPR) and the State Data Protection Act (Landesdatenschutzgesetz (LDSG)) into account when processing your data.

Primarily, the data processing is used for organising and holding the event that we have arranged and for which you have registered. Photos and video recordings from the event may be used for the purpose of public relations and published in the press, on the internet, or in one of our publications. The primary legal basis for this is Section 4 LDSG in conjunction with Art. 6(1)(e) GDPR.

We may also ask for your separate consent to the processing of your data in accordance with the first sentence of Art. 6(1)(a) and Art. 7 GDPR.

For how long is your data stored?

We will delete your personal data as soon as it is no longer required for the above-mentioned purposes. Your data will also be deleted if you exercise your right of revocation or objection. We ensure that your data is deleted by means of a deletion concept where data records are checked on a regular basis.

Who receives your data?

Your personal data will be sent only to those persons and departments within the Ministry of Economic Affairs, Labour and Tourism who are involved in organising and holding the event and in public relations work.

We may pass your data on to service providers contracted by us (such as security service, gate personnel, event management, partners, press and so on) for the purpose of organising and holding the event and also for public relations work.

Which rights can you assert as the data subject?


You have the following rights pursuant to Art. 15 – 21 GDPR:

  • Right of access to information (in accordance with Art. 15 GDPR)
  • Right to rectification (in accordance with Art. 16 GDPR)
  • Right to deletion (in accordance with Art. 17 GDPR)
  • Right to restrict processing (in accordance with Art. 18 GDPR)
  • Right to data portability (in accordance with Art. 20 GDPR)
  • Right to object to the processing (in accordance with Art. 21 GDPR)

Right of revocation

If we process your data on the basis of a declaration of consent, you have the right to revoke your consent at any time with future effect. This does not affect the lawfulness of the consent-based processing that was carried out up to the point when your consent was revoked.

Right of objection

If we process your data with the aim of performing our duties (on the basis of Section 4 LDSG in conjunction with Art. 6 (1)(e) GDPR), you may object to the processing of your data for reasons arising from your particular situation. We will no longer process your personal data unless we can demonstrate compelling and legitimate reasons for the processing that outweigh your interests, rights and freedoms, or if the processing serves to establish, exercise or defend legal claims.

Is your data sent to a third country?

Your data will not be passed on to third countries. Photos and personal data that are published online are accessible worldwide, including in countries with low levels of data protection.

Are you obliged to provide your data?

It is neither a legal nor a contractual requirement to provide your personal data. You are not obliged to provide us with your personal data. However, unless your data is recorded, you may not be able to participate in an event held by the Baden-Württemberg Ministry of Economic Affairs, Labour and Tourism.

To what extent are automated case-by-case decisions or profiling measures used?

We do not base our decisions on purely automated data-handling processes.
